How do I set up and manage Smart Renew?

Once activated, toggle RUC and rego purchasing on for each asset from Fleet Management > Smart Renew, set your units and delivery details, and renewals run automatically.

Smart Renew automates the purchase of Road User Charges (RUC) and vehicle registrations, delivering new licences wherever and whenever you need them, once it's activated on your account.

Also known as / customers also ask: set up Smart Renew, manage Smart Renew, automate RUC purchasing, automate rego renewal, Smart Renew RUC units, Smart Renew activation

What you need before you start

  • Smart Renew activated on your account — contact your account manager or Argus support to arrange this. Smart Renew is available on MIDI (additional monthly fees apply) and OMNI plans; see your pricing schedule or account manager for current plan details.
  • Two direct debit forms completed: your usual Argus direct debit form, and a separate form for our Smart Renew partner. Renewal purchasing doesn't start until both are in place.

How do I set up Smart Renew for an asset?

  1. Once activated, from the Argus Dashboard go to Fleet Management > Smart Renew.
  2. Find the asset you want to activate Smart Renew for, using the Asset Search dropdown, the Filter by Group dropdown, or by scrolling the table.
  3. To automate RUC purchasing, select the toggle under RUC Purchasing On for that asset so it turns blue, then enter the number of RUC units to buy in RUC Units to Buy — 1 unit equals 1,000 km — and the distance before expiry you want a new licence ordered in Purchase RUCs X km Prior to Expiry. For example, with a default of 2,000 km and a licence expiring at 50,000 km, a new licence orders automatically once the vehicle reaches 48,000 km.
  4. To automate registration purchasing, select the toggle under Rego Purchasing On so it turns blue, then enter the number of months to purchase in Rego to Buy.
  5. Enter the name of who should receive the licence in Attention To.
  6. Enter an email address in Email Notification to get tracking details — if left blank, notifications go to your company's default billing email.
  7. Enter a delivery address in Address to Send Licence if you don't want it going to your default shipping address. This must be a physical address, not a PO Box, since licences are couriered.

When does Smart Renew actually purchase and renew?

Argus syncs with NZTA every Tuesday night for renewals and purchases, and the purchase itself is processed the following Wednesday. Registration renewals are triggered 28 days before expiry. If your fleet uses Check Sheets to record odometer or hubodometer readings, scheduling them for a Monday means the latest reading is in place before Tuesday night's sync, which helps keep renewal timing accurate.

How do I know it worked?

The relevant toggle stays blue and your settings are saved — Smart Renew doesn't need a separate save step once toggles and values are set.

What if it doesn't work?

Renewals aren't happening: confirm both direct debit forms — your Argus one and the Smart Renew partner one — have been returned.
